Specialist 1 (Purchasing and Facilities)

The Specialist 1 position for the Purchasing and Facilities offices focuses on customer service and entails various administrative and purchasing tasks. This role involves handling a large workload within specified deadlines. It includes responsibilities such as processing purchase orders, ensuring accurate allocation of account codes, communicating with campus units and external vendors through electronic and phone channels, recognizing training needs for purchasing procedures on campus, and assisting with campus inventory control. This position reports to the Associate Director of Purchasing and Auxiliary Services and those reporting to the Assistant Vice President of Construction, Planning, and Facilities Management.

Note: This is a union position.

Position Requirements

  • Associate’s degree from an accredited institution in a business-related field, plus four years office work experience or five years of office management experience. Assessments or acceptable certification for the appropriate level of Microsoft Office skills will be required.

Essential Functions & Position Duties

  • Performs primary receptionist duties (answering phones, greeting visitors, directing calls, etc.)
  • Maintains files (both electronic and hard copy)
  • Data entry
  • Maintains confidential and sensitive information
  • Processes requisitions
  • Works with budgets
  • Coordinates and attends meetings as appropriate; prepares and distributes minutes
  • Interface with college-restricted software systems
  • Supervisory duties (Student Workers)
  • Manipulates data in college-restricted software systems

Non-essential functions of the position

Other duties as assigned. Duties must be performed on the John A. Logan College campus or designated location.
