Full Time Faculty Absence Calculations

1.  Calculation of Absences:

Calculations will be made based on all teaching and office hours listed on the Office and Teaching Schedule

A. Faculty who are scheduled for a period of 8 hours or less, including teaching hours, office hours and overload, will be charged at a rate of ½ day per four hour increment. If office hours make up one hour or less, that office hour may be made up in the manner prescribed in Item 2.

B. Faculty who are scheduled for a period more than 8 hours, but less than 12 hours will be charged in the following manner:

1. Missing 50% of the day or less will constitute a ½ day absence.

2. Missing more than 50% of the day will constitute a 1 day absence.

C. Faculty scheduled for more than 12 hours during one day will be charged 1 full day and an additional ½ day for missing an entire day. If office hours constitute 2 hours or less, office hours may be made up in the manner prescribed in Item #2 and the absence will be recorded as 1 full day.

2.  Making Up Office Hours:

Office hours may be made up only under the following conditions:

  1. Sick Leave:  A written request for approval to make up office hours must be submitted to the appropriate department chair and/or associate dean within 2 days of returning from sick leave.
  1. Personal Leave:  A written request for approval to make up office hours must be submitted to the appropriate department chair and/or associate dean 2 days in advance of personal leave.
  1. All approvals of requests to make up office hours must be on file with the Dean for Instruction within one week of the absence.
  1. The following activities may be approved for the make up of office hours:
    • Off-campus recruiting visits.
    • Off-campus visits to local industries and advisory committee members.
    • Additional meetings scheduled outside regularly scheduled office hours.
    • Other activities approved by the Dean for Instruction.

  1. Non-paid Substitution:

Prior written approval for non-paid substitution must be given by the department chair and/or associate dean no less than 2 days in advance of the absence. If an instructor engages another full-time, qualified instructor as a non-paid substitute, no absence will be charged. Evidence of written approval must be filed with the Dean for Instruction within one week of returning from sick or personal absences.

Any office hours missed shall be made-up in the manner prescribed in Item #2. Office hours must be rescheduled within one week of returning from the absence and must be posted on the instructor’s office door.

4.  Ongoing sick and personal leave absences of three weeks or more will be calculated according to Section 4.4 of the Full-Time Faculty Contract. Under no circumstances will an instructor be charged at a rate of more than 5 days per week.
